1. Who this policy covers
This Privacy Policy explains how Avatar Lab ("Avatar Lab," "we," "us") collects, uses, and protects information when you visit avatar-lab.net, request a demo, or use the Avatar Lab platform.
2. Information we collect
We collect information in the following ways:
- Information you give us directly — name, work email, company, and any message you submit through the "Request a Demo" form.
- Account and usage information — once you're a customer, this includes login details, workspace activity, production history, and records of content generated through the platform.
- Reference material and likeness data — identity references, photos, and traits you or your organisation upload to build and maintain an AI KOL. This is the most sensitive data we handle and is covered separately below.
- Technical information — IP address, browser type, device information, and basic analytics collected automatically when you visit the site.
3. How we use this information
- To respond to demo requests and enquiries.
- To provide, maintain, and improve the Avatar Lab platform for customers.
- To generate, review, and verify AI KOL content against the identity reference on file, as part of the core product function.
- To maintain production history and cost records within a customer's own organisation, as described on the site.
- To communicate with you about your account or demo request.
- To meet legal, security, and compliance obligations.
We do not sell personal information, and we do not use customer identity references or uploaded likeness data to train models for any organisation other than the one that uploaded it.
4. Likeness and identity reference data
Where a customer uploads photos, video, or other likeness material to build an AI KOL, that material is used only to establish and maintain that customer's character, and to check new renders against it for consistency. Avatar Lab does not independently verify that a customer has the rights to use a given likeness — as stated in our Terms, that responsibility sits with the customer and, where relevant, their legal counsel.
5. Who we share information with
- Service providers we rely on to run the platform — hosting, infrastructure, and the third-party providers used to generate or process content — bound by confidentiality and data-processing terms.
- Legal and safety purposes — where required to comply with the law, enforce our terms, or protect the rights, property, or safety of Avatar Lab, our customers, or others.
- We do not share identity reference or likeness data across customer organisations. Records are scoped to the organisation that created them.
6. Data retention
We retain demo request information for as long as reasonably needed to respond to your enquiry, and delete or anonymise it if no relationship develops within a reasonable period. For customers, account data, production history, and identity references are retained for the duration of the customer relationship, plus a limited period afterward to meet our record-keeping and legal obligations, after which they are deleted or anonymised unless you ask us to remove them sooner.
7. Your rights
Depending on where you're located, you may have rights to access, correct, delete, or export the personal information we hold about you, and to object to or restrict certain processing. To make a request, contact us at privacy@avatar-lab.net.
8. Cookies and analytics
The site uses essential cookies needed for it to function, and analytics tools to understand traffic and how visitors use the site. These do not sell your data or build advertising profiles about you. You can control cookies through your browser settings at any time.
9. Security
We use reasonable technical and organisational measures to protect the information we hold. No method of transmission or storage is completely secure, and we can't guarantee absolute security.
10. International data transfers
Because we rely on hosting and infrastructure providers, your information may be processed in countries other than your own. Where that happens, we take reasonable steps to ensure it receives a comparable standard of protection to what's described in this policy.
11. Children's privacy
Avatar Lab is a B2B product intended for business use and is not directed at children. We do not knowingly collect personal information from children.
12. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
